Backpack

Backpack for needlepoint shops on Shopify

You chose Shopify so the register and the website would share one set of counts. Then a canvas sells twice, a thread color shows in stock that is not on the wall, and month end eats a weekend. We run the back office side of Shopify for you, so the store online matches the shop.

Where needlepoint shops on Shopify get stuck

Shopify is a good base for a needlepoint shop. Most of the trouble comes from how the catalog was set up in the first year and never revisited.

The register and the website disagree

Shopify POS and your online store draw from the same inventory, so drift usually has another cause. Canvases put out without being received, an extra location nobody uses, a trunk show rung up on a different device, or products duplicated during an import years ago.

We check every product against what is on your shelves, merge duplicates and set up locations that match how you really work. Your staff get a receiving routine that takes minutes. After that we review counts on a schedule, so drift gets caught in days instead of at inventory time.

One design, two mesh sizes, three listings

The same design painted on 13 and 18 mesh is two sizes at two prices. Some shops list each as its own product, some use variants, and many have a mix of both. Search, reports and reorders all get harder when the catalog follows no single rule.

We pick one structure for your shop, usually one product per design with mesh as an option, and apply it across the whole catalog. SKUs follow a pattern staff can read at a glance, so a special order for the 18 mesh never goes home as the 13.

Thread counts nobody trusts

A single thread line can run to hundreds of colors, and each one sits in Shopify as a product or a variant. Pulls for stitch guides, partial cards and a few colors set aside for a customer all chip away at the numbers until staff stop believing them.

We organize threads so each color is quick to find at the register and online. We keep a reorder list for the colors you sell every week and give staff one simple step to record a pull, so the counts stay honest.

Special orders living on sticky notes

A customer wants a canvas you do not stock, painted on a mesh the designer has to make for her, with a deposit paid today. In a lot of shops that order lives on a sticky note, in a draft order, or in the owner's head.

We set up one place for every special order with designer, mesh, deposit and promised date, tied to the customer record in Shopify. When the canvas arrives, the customer hears from you that day. Finishing gets the same treatment, so you always know which pieces are out and when they are due back.

Sales tax set up once and forgotten

Shopify can work out tax at checkout, but it only collects where you have told it to. If online orders have grown, or you sell at markets in other states, you may owe tax somewhere Shopify is not collecting. Working out tax and filing returns are also two different jobs.

Our bookkeeping team looks at where you actually sell, watches the states where you may be getting close to a threshold, and keeps your Shopify tax settings matched to your registrations. Filing is part of our sales tax compliance work, with a CPA brought in when a question needs one.

Email and reviews that wait for a quiet week

New arrivals from market, trunk show weekends and class sign ups are exactly what your stitchers want to hear about. Most owners send an email when there is time, which means rarely.

We write and send your email in Klaviyo, Mailchimp or Shopify's own email tool, built from your real products and customers. New arrivals, back in stock notes and a regular newsletter go out on a calendar. We also answer the inbox, ask happy customers for reviews and keep your Google listing current.

No clear view of sales by designer

Before you spend a market budget you want to know which designers sell through and which sit on the wall. Shopify can report by vendor, but only if the vendor on every product is filled in and spelled the same way.

We clean up designer names across the catalog so every canvas is credited to the right designer. Then you get a monthly report of sales, margin and sell through by designer, and you walk into market knowing who to buy more from.

What we connect Shopify to

Shopify sits in the middle of your shop. We connect it to the rest, so numbers move on their own and nobody retypes a sale.

  • Shopify POSRegister and website on one catalog, with counts by location.
  • QuickBooksSales, fees and payouts land in the books in a form your CPA can read.
  • Klaviyo or MailchimpEmail built from what customers bought and what just came in.
  • GoogleSearch and maps show your hours, your products and your reviews.
  • Meta and PinterestAds and product posts, if and when you want them.

This is your back office operating system. Use only what you need. If you want bookkeeping and email but not the website, that is a plan.

Questions shop owners ask

Do I have to switch away from Shopify?

No. If Shopify works for your shop, we work inside it. Most shops need the setup they already have cleaned up and looked after, not replaced.

Do you work with Shopify POS too?

Yes. Most of our Shopify work covers the register and the website together, because that is where counts drift and where staff habits matter most.

Can you fix or rebuild our Shopify theme?

Yes. We build and run websites with dedicated IT for the site and the customer experience. If your theme is slow, hard to update or confusing on a phone, we can fix it or rebuild it.

Can you move us to another platform if it makes sense?

Yes. If a different register or website would fit your shop better than Shopify, we will tell you plainly and explain why. If you decide to move, we plan it with you, bring over your products and customers, and check the counts against your shelves before the old system is turned off.

What does it cost?

Every plan is built around the shop, so there is no public price. You only pay for the parts you use. It is month to month, you can pause anytime, and the first 30 days come with a full refund.
